Our Client, a Fintech Company based in Nairobi is seeking to recruit an Office and Information Administrator. The successful candidate will manage the office and information requirements of the staff of our headquarters. The ideal candidate must have over 5 years of experience in a similar role in a busy environment.

Responsibilities:

  • Organize and schedule meetings and appointments.
  • Monitor and maintain office supplies inventory.
  • Partner with HR to maintain office policies as necessary.
  • Organize office operations and procedures.
  • Provide general support to visitors.
  • Responsible for managing office services by ensuring office operations and procedures are organized, correspondences are controlled, filing systems are designed, and that clerical functions are properly assigned and monitored.
  • Responsible for developing and implementing office policies by setting up procedures and standards to guide the operation of the office.
  • Responsible for helping onboard new starters and showing them how to best use the office (printing, booking meeting rooms etc).
  • Office health and safety – monthly checks, maintenance of registers, etc.
  • Ensure filing systems are maintained and current and free from unnecessary duplication.
  • Receiving and electronic filing of reports, contracts, presentations and ensuring they are properly filed in accordance with the Group filing structure.
  • Maintaining hard copy filing of key documentation.
  • Managing the shared drive filing structure and access rights (removal of leavers etc).
  • Establish and monitor procedures for record-keeping.
  • Ensure security, integrity, and confidentiality of data.

Qualifications:

  • Relevant bachelor’s degree.
  • Must have over 5 years of experience in a similar role in a busy environment.
  • Ability to handle confidential information.
  • Ethical, with the ability to remain impartial and report all non-compliances.
  • Organisational skills with attention to detail.
  • Proven office management, administrative, or assistant experience.
  • Excellent time management skills and ability to multitask and prioritize work.
  • Attention to detail and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Strong organizational and planning skills.
  • Proficient in Microsoft Office.
  • Proficient in Google G-Suite.
