Finance Officer, Africa Digital Media Institute – ADMI .
Purpose of the role
The Finance Officer is responsible for bookkeeping and accounting for Group activities. She/he will ensure that all source documents/files are maintained; all statutory deductions are prepared and paid in time; receipts and payments (including records, assets, and human resource liabilities) are updated on a regular basis; and financial reports are produced on an accurate and timely basis.
As critical line support to the Operations Manager, the Finance Officer will backstop the Operations Manager in all respects, while also providing day-to-day guidance and supervision to the Accounts Associate and Accounts Assistant and ensuring compliance with the Group’s policies and procedures.
Responsibilities
  • Leading the Finance department under the direction of the Operations Manager, the Finance Officer is responsible for all aspects of financial management of the Group, ensuring compliance with ADMI internal policies and procedures as well as KRA and all other statutory regulations.
  • Oversee and manage daily Group-wide accounting and finance functions including timely recording of transactions, cash management, banking, payroll, fixed assets, receivables, and payables.
  • Plan and implement systems for financial operations at ADMG and in other entities in accordance with the Finance Manual, including systems for cash flow management, budgeting, consolidation of accounting information, internal controls, financial reporting, financial record-keeping, grant management, and compliance.
  • Train and supervise finance staff, consultants, and suppliers, as needed, across the Group.
  • Maintain banking relations and plan and monitor cash flow requirements to ensure the smooth implementation of ADMG standards.
  • Prepare monthly standard accounting to management, for review by the Operations Manager, including general ledger files, account reconciliations, expenditures by cost center/project, as well as other financial information in a timely and accurate manner.
  • Prepare monthly management reports for the Senior Management Committee and Board as required, including expenditures by cost center and other financial information, in a timely and accurate manner.
  • Prepare financial reports, for review by the Operations Manager, to donors in line with donor requirements and templates.
  • Assist in developing annual fiscal year budgets together with the Operations Manager.
  • Continuously stay abreast with external laws, policies, procedures, rules, and regulations; compile and update applicable local, regional and global policies; and train ADMI staff in these policies.
  • Ensure compliance with, and continuous improvement of, ADMG financial policies and procedures.
  • Provide strategic financial advice on policy and corporate matters to the Operations Manager and senior management as required
  • Provide and present analyses of financial data to management and Board committees – e.g., variance commentary between actual results and budget and comparative trends over target time periods
  • Develop, improve and communicate tools (e.g., dashboards) on finance processes, initiatives, and results
  • Assist with the implementation of process improvements for the Finance Team
  • With representatives from other departments, external parties, external suppliers, and other agencies to identify critical issues, develop and maintain professional and collaborative relationships, identify best practices and ensure timely access to information.
  • Backstop and support seniors, support peers, and oversee juniors as needed
  • Serve as a full member of the Operations department, including participation in team-building activities, report preparation. etc.
  • Other tasks as assigned.

  • This position supervises the Associate, Finance & Compliance, and Accounting Assistant

Qualifications
  • Bachelor’s degree in finance or related field
  • Professional certification (CPA or ACCA)
  • 3-4 years of financial or accounting experience
  • Proficient in Microsoft Office and PowerPoint
