Responsibilities

  • Budget and Finance Provides support with respect to the review, analyses and preparation of the medium-term plan and its revisions.
  • Prepares supporting documents (narrative and supporting tables) with respect to finalization of cost estimates and budget proposals, in terms of staff and non-staff requirements.
  • Assists managers in the elaboration of resource requirements for budget submissions.
  • Monitors expenditures and compares with approved budget; conducts regular expenditure commitment reviews for all funds and takes necessary actions; prepares adjustments as necessary.
  • Reviews requisitions for goods and services to ensure (a) correct objects of expenditure have been charged, and (b) availability of funds.
  • Assists in preparation of budget performance submissions and finalization of budget performance reports, analyzing variances between approved budgets and actual expenditures.
  • Verifies accuracy of input data, ensuring consistency of data in previous allotments to new allotments issued.
  • Co-ordinates with other finance and budget staff on related issues during preparation of budget reports.
  • Assists in the financial backstopping of trust funds, including monitoring the status of voluntary contributions, generating expenditure reports from Umoja/SAP and monitoring reporting requirements by donors.
  • Process fund distribution received from HQ and input allotment advice in Umoja System.
  • General Duties Keeps up to date on documents/reports/guidelines that have a bearing on matters related to programme, ensuring compliance with intergovernmental recommendations and decisions as well as with United Nations policies and procedures.
  • Drafts or prepares correspondence to respond to enquiries in respect to relevant financial and budget matters.
  • Maintain and keep up-to-date files.
  • May be responsible for providing guidance and, training and daily supervision to other general service staff in their areas of responsibility.
  • Assists with the collection and analysis of data as well as preparation of data presentations and reports for information sharing, responding to queries, knowledge management, planning and decision making.

Education

  • High school diploma or equivalent is required.

Work Experience

  • A minimum of seven (7) years of experience in finance, budget, accounting, administrative services or related areas is required.
  • The minimum years of relevant experience is reduced to five (5) years for candidates who possess a first-level university degree or higher.
  • A minimum of three (3) years of experience working with modern ERP systems, such as SAP is required.
  • Experience working with the UN or similar international organization is desirable.
  • One (1) year or more of experience in data analytics or related areas is desirable.

Legal Assistant

Responsibilities

  • Research and compile legal materials for use in the preparation of legal opinions, for inclusion in studies and reports and for matters before the administrative tribunal.
  • Handle, or refer to the appropriate officer, as necessary, a variety of verbal and written inquiries from internal and external parties, including providing information on processes and procedures related to specific legal activities, instruments.
  • Review, summarize and index significant rulings, legal opinions, recommendations.
  • Review, verify and process legal instruments, ensuring conformity to relevant guidelines and requirements, extract key data and update database, monitor requisite follow-up actions, approvals.
  • Edit and conduct final checks for accuracy of a variety of specialized legal documentation, instruments, publications and related correspondence.
  • Service various committees, hearings and other meetings; select and compile relevant background materials; assist in the preparation of relevant documents; attend meetings and drafts minutes/notes; monitor follow-up actions.
  • Coordinate ceremonies and related meetings, ensuring timely receipt of legal instruments and other requisite documentation.
  • Assist in the preparation of legal documents for electronic storage, access and circulation/publication, including document scanning and conversion, review of content and extraction of key data and text excerpts for categorization and indexing purposes.
  • Provide initial technical support to users to resolve hardware/software problems and provide a link with the ICT Support Help Desk; assist in forecasting budget for information technology requirements; maintain an inventory of existing computer equipment.
  • Provide general office support services; draft, edit, proofreads and finalizes for signature and/or process a variety of correspondence and other communications. • Set up and maintain reference files/records (electronic and paper).
  • Schedule appointments/meetings, monitor deadlines.
